PROJECT OVERVIEW

East West University is embarking on an initiative to replace most software applications supporting its student life cycle, human capital, Finance operations and strengthening the university’s overall & decision support system.  Following this, the university authority has decided to develop and implement an integrated and comprehensive University Enterprise Resource Planning System (ERP) which will help us to meet the five basic challenges of a university student, human resource, knowledge, service and management. The primary objective of the project is to provide the university with a fully integrated management system that will allow it to deliver outstanding service, to support the highest quality education for its student population, to conduct cutting edge research and to support in instant decision making. This initiative will promote and aid in the transformation and standardization of university-wide administrative processes as well as centralize and standardize data storage throughout the institution. As the East West University moves through the phases of the project, its staff and administration will be challenged to rethink current practices and provide the necessary framework for the university to align the administrative processes in higher education with leading practices and to comply with internal and external compliance and regulations. This initiative must promote an environment of change and redesign to allow the creation of more efficient and effective processes to support the university mission and goals.

Project Objectives

The objective of this project is to design an integrated and comprehensive Enterprise Resource Planning (ERP) along with E- Governance for East West University. The main objectives of this project are to:

  • integrate people, processes, and technology to provide an integrated system to all kinds of user of East West University;
  • manage resources, institutional knowledge, developing skill sets, and technology in an effort to continuously improve service and productivity throughout the University;
  • develop an integrated structure that will promote enforcement of policies, procedures, rules and regulations throughout the University;
  • design an environment that eliminates redundant technological solutions and encourages solutions that maximize the goals and objectives of the University;
  • design a system that will make data available to the right person at the right time and will help the management in decision making.

Business Process Scope

  • Student Services Administrative functions including biographic/demographic student data, Registration and Wait listing, Academic Calendar, Course/Class/Room Scheduling, Course Planning, Master Course Catalogs, Academic Rank, Transfer Credit, Enrollment Verification, Grading, Transcripts, Degree Review, Advising, Student Aid, Recruitment & Event Management, Admissions, Graduation, Student Accounts.
  • Procurement Service functions including Requisitioning, Managing Purchase Orders, Strategic Sourcing and Contract Maintenance, Inventory Control, Distribution, Receiving and Issue.
  • Finance functions including General Accounting, Chart of Accounts maintenance, Departmental Accounting, Accounts Receivables, Account /Fund Request, Position Control, Treasury Management, Internal Audit, Budgeting (annual and capital budgeting), Cash Management, Fixed Assets, Accounts Payable, General Ledger, Journal Entries.
  • Human Resource and Payroll functions including Personnel Administration (Job Classifications and Positions, employee compensation, appraisal management, and promotion, Personnel Development, Workforce Recruitment, Hiring, Workforce Maintenance, Training Administration and Payroll, Final Settlement.
  • Support Services including Career Counseling center, Library management, CRT- Center for Research and Training, ICS, Registrar, Medical Center, PRO - Public Relation Office.
  • E-governance where applicable

 

Technology Scope
